Part A – Personal data we process
For the event arrangement, we need:
• Full Name, Preferred Name, Nationality, Date of birth, Gender
• Contact numbers
• Dietary
• Weight
• Attire sizes
• Language spoken
• Business Unit, Job Title
• Vaccination Information (Number of Vaccination Doses, Type of Vaccine)

For us to arrange your accommodation, in addition to above, we also need:
• Check in date, Check out date
• Passport number (required by Hotel to provide passport number when booking the room)
• Room partner name

For those that we will help in the travel arrange, we will process the below information:
• Arrival: Date, flight number, time, transfer arrangement
• Departure: Date, flight number, time, transfer arrangement

We will collect personal data from you directly, your assistant and/or business units coordinator.

Prudential plc will use the personal data you provide to us, together with other information, for the necessary performance of our service to you for the arrangement of Prudential Agency Leaders’ Conference. Your images or video taken during the events may be used in our in printed publications, presentations, promotional material.
In addition, Prudential plc will use the personal data you provide to us, together with other information, to send you Prudential Agency Leaders’ Conference information and announcement by electronic and non-electronic means. Our legal basis for this processing is based on your consent.

Who we share your personal data with and why
We will share your personal data with Zeal Experiential Asia Limited in the context of the arrangement for the event. We may process your personal data in a country other than the one in which you reside. To the extent we transfer your personal data, we will use appropriate safeguards and comply with the laws of the country to which your personal data is transferred. Details of the safeguards we use are available on request.

We keep your personal data for a set amount of time
Your personal data will be stored either for one month after Prudential Agency Leaders’ Conference or longer if required by law. There may be specific circumstances where it is necessary for us to retain your personal data for longer (such as when a dispute arises).
